How to qualify leads automatically via Zapier

Zapier lets you connect Referral Factory to thousands of other tools and qualify referrals automatically based on events in your own systems — no code required.
This is the recommended approach if you do not use HubSpot, Salesforce, Stripe, or Intercom, or if your qualification trigger lives in a tool that doesn't have a native Referral Factory integration.

How it works

You create a Zap with two parts:
1. Trigger — an event in your system that means a referred person has converted (e.g. a new payment in Stripe, a form submission, a new row in a Google Sheet)
2. Action — qualify the lead in Referral Factory using one of the three qualification methods below

Three ways to qualify leads via Zapier

The Referral Factory Zapier integration offers three qualification methods. Choose the one that matches the data your trigger app provides:
MethodWhen to use
Qualify User With EmailYou have the lead's email address. This is the most common method — map the customer email from your trigger app to the Referral Factory lead identifier.
Qualify User With CodeYou have the lead's unique referral code. Useful when your system stores the referral code that was used during sign-up or purchase.
Qualify User With CouponYou have the coupon code the lead used. Best for e-commerce or subscription workflows where leads convert using a coupon.

Setting it up

1. Go to zapier.com and click Create a Zap
2. Set your trigger — the event in your external tool that signals a conversion (e.g. "New payment in Stripe", "New customer in Chargebee", "New row in Google Sheets")
3. Add Referral Factory as the action app
4. Select your qualification method — Qualify User With Email, Qualify User With Code, or Qualify User With Coupon
5. Connect your Referral Factory account using your API Key when prompted
6. Map the relevant field from your trigger (email address, referral code, or coupon code) to the Referral Factory lead identifier
7. Select the correct campaign
8. Test the Zap to confirm the lead is qualified in Referral Factory
9. Turn on the Zap

Example workflows

Qualify on Stripe payment:
Trigger: New successful payment in Stripe → Action: Qualify User With Email in Referral Factory
Qualify on form submission:
Trigger: New form entry in Typeform or Google Forms → Action: Qualify User With Email in Referral Factory
Qualify on e-commerce purchase:
Trigger: New order in WooCommerce or Shopify → Action: Qualify User With Coupon in Referral Factory
