How to qualify leads automatically via Salesforce

Connecting Salesforce to Referral Factory lets you automatically qualify referrals based on changes in your Salesforce CRM — such as when a lead's status.

Before you start

Connect Salesforce in Campaign Settings → Integrations and API → CRM tab. Click Connect on the Salesforce tile and follow the OAuth authorisation flow.

Where to find qualification rules

Once connected, open the Leads tab in your Salesforce integration settings and scroll down to the Qualification Rules section. The available qualification methods depend on whether you are creating Leads or Contacts in Salesforce.

Qualification methods for Leads

If you selected Create New Lead in Salesforce in the Leads tab, you will see these qualification methods:

Do not qualify my referrals

No automatic qualification happens. You would need to qualify referrals manually or via another method (e.g. API or webhook).

A field of the Lead would change

Select a Salesforce Lead field to monitor and the value it should change to when the referred user converts. When Salesforce reports that field change, the referral automatically qualifies in Referral Factory.
  • Choose this method from the dropdown
  • Select the property that will change — e.g. Status
  • What will this property change to when the user qualifies? — e.g. Qualified

A Lead would convert into an Opportunity

The referral qualifies when the Salesforce Lead converts into an Opportunity — regardless of which stage the Opportunity is in.

A Lead would convert into an Opportunity and move to a specific Stage

The referral qualifies only when the Salesforce Lead converts into an Opportunity and that Opportunity reaches a specific stage you define.
  • Choose this method from the dropdown
  • What will this opportunity stage change to when the user qualifies? — select a stage, e.g. Closed Won

Qualification methods for Contacts

If you selected Create New Contact in Salesforce in the Leads tab, the qualification methods adjust for the Contact object:

Do not qualify my referrals

Same as above — no automatic qualification.

A field of the Contact would change

Same concept as Lead field changes, but monitors a Contact field instead. For example:
  • Select the property that will change — e.g. Lead Source
  • What will this property change to when the user qualifies? — e.g. External Referral

Important notes

  • The qualification method you choose should match the action that would happen in Salesforce when your referred users convert.
  • Only one qualification method can be active per campaign.
  • Qualification depends on when Salesforce pings Referral Factory. See FAQ: How long does auto-qualification via Salesforce take? for timing details.
  • Click Save Changes after configuring your qualification rules.
