FAQ: How do I sync my Intercom segments into Referral Factory?

You can sync contacts from Intercom into your campaign as referrers using the Sync wizard. This lets you choose a specific segment, map fields in both directions, and decide between a one-time or ongoing sync.

Steps

1. Go to your campaign's Referrers tab.
2. Click Add Referrers.
3. Select Sync to sync contacts from your CRM automatically.
4. Choose Intercom as the integration source.
5. Under Select Intercom Contact Type, choose which contacts to sync:
6. If you chose A specific segment, select the segment from the dropdown (e.g., Active, New, Slipping Away).
7. Map Intercom fields to Referral Factory fields (e.g., Name → First Name, Email → Email).
8. Optionally, map Referral Factory fields back to Intercom (e.g., Referral Link, Referrals Count, Converted Referrals Count).
9. On the confirmation page, choose your Sync Type:
10. Click Start Sync to begin syncing contacts.
  • Only Leads — Sync only Intercom leads
  • Only Users — Sync only Intercom users
  • All Contacts — Sync all contact records
  • A specific segment — Sync contacts from a single Intercom segment
  • One-Time Sync — Sync contacts once now, no automatic updates
  • Ongoing Sync — Automatically sync contacts on a schedule; changes in Intercom will be reflected in Referral Factory

Important notes

  • If you need users from multiple segments in one campaign, sync each segment one after the other.
  • Previously synced users will not be duplicated if they already exist in the campaign.
  • With one-time sync, you'll need to manually re-sync if new contacts join the segment.
  • With ongoing sync, changes in Intercom will automatically update in Referral Factory.
