This email is sent to the referrer when one of their referrals moves from Pending to Qualified. It is the moment the referrer finds out their referral "counted" — that the person they referred actually converted.
In the Always On Emails tab, this template is called You got a qualified referral! and appears under Emails for Referrers.
This is an important engagement touchpoint. Referrers who receive this email know their effort paid off, which reinforces continued participation in the program.
Depending on your reward setup, this email may indicate that a reward is on its way (if rewards issue immediately) or that the referral was successful and the reward will follow (if you have a delay configured).

How to customise it

You can also Preview the email, Send Test Email to yourself, or use the toggle to disable it entirely.
  • Go to Emails in the left sidebar.
  • Click the Always On Emails tab.
  • Find You got a qualified referral! under Emails for Referrers and click Edit Template.
  • Update the subject line and body content.
  • Click Save.

Best practices for this email

This is the most important email in the referral loop — the moment the referrer finds out their effort paid off. Make it feel like a win.

Subject line

  • Lead directly with the reward. Do not make the referrer search for the good news. "You just earned $20\!" is better than "An update about your referral".
  • Specific amounts outperform vague language — "You earned $20" beats "Your reward is ready."
  • Keep it under 50 characters for mobile. Examples: "Your referral qualified\!", "You did it — here is your reward".

Email body

  • State the reward clearly and prominently at the top. The reward should be the visual hero of the email — do not bury it.
  • Name the lead who qualified to make it personal and confirm which referral this is about.
  • Provide clear redemption instructions: how to claim the reward, where it appears in their account, and any expiry date.
  • Include a secondary call to action encouraging them to share again. The referrer is at peak motivation — capitalize on it with something like "Refer another friend".

Timing

  • Send this immediately when the lead qualifies. Every hour of delay reduces the emotional impact of the reward notification.
  • If you use a reward delay before issuing the reward itself, consider sending a "Your referral qualified — reward coming soon" notification immediately and a second email when the reward is issued.

Tone

  • Celebratory and affirming — treat this like a win. Use language like "You did it", "Great news", or "You are on a roll".
  • Keep it brief. The referrer knows the program; get to the reward quickly and avoid re-explaining how it works.
