How to send new leads to Intercom automatically

When a new lead joins your referral campaign, you can automatically create a corresponding contact in Intercom.

When a new lead joins your referral campaign, you can automatically create a corresponding contact in Intercom. This keeps your Intercom data in sync without any manual work.

Before you start

Connect Intercom in Campaign Settings → Integrations and API → CRM tab. See How to connect Intercom to Referral Factory for full instructions.

Step 1: Choose an action

On the Intercom integration panel, select the Leads tab. Under “When lead joins campaign”, choose one of:
  • Nothing to action — No contact will be created in Intercom
  • Create New Lead In Intercom — Creates a new lead record in Intercom
  • Create New User In Intercom — Creates a new user record in Intercom

Step 2: Map your fields

Under “Map your fields”, map the data from Referral Factory to the corresponding fields in Intercom.
The Email field is required. You’ll see a “Setup Required” warning until all required fields are mapped.
Click + Add More Fields to map additional fields.
  • Choose the Data Type (e.g., Dynamic Value)
  • Select the From Referral Factory field (e.g., Email, First Name)
  • Select the To (Intercom) field (e.g., Email, Name)

Step 3: Handle duplicate contacts

Under “How to handle duplicate users”, choose what happens when a matching contact already exists in Intercom:
  • If the contact already exists in Intercom, do nothing, do not update the contact in Intercom — Skip duplicates entirely
  • If the contact already exists in Intercom, then update the contact that already exists in Intercom to mark them as referred — Update the existing contact

Step 4: Set qualification rules (optional)
